The challenge
Clinics lose the most between the booking and the visit: slots held by people who never come, deposits sent as screenshots on WhatsApp, and records split between paper, phones and branches. We built KeepUp to show a clinic the whole cycle in one system, from a patient picking a time on their phone to the owner reading every branch's numbers. Each role gets its own portal, every branch's data stays apart, and all of it had to stay fast and clear on a phone. The demo runs on realistic sample data, so a clinic can try every role in the browser before anything is connected to its own backend.
What mattered most
- 1Every branch's data kept apart
- 2No-shows handled before the visit
- 3Fast and clear on a phone
What we built
01Booking
A booking flow made for the phone
Branch, specialty, doctor, then a day and a time. Rings on each day show how much of it is still open, and the visit summary stays beside the slots. Reserving holds the slot and asks for a small deposit by InstaPay or Vodafone Cash, with the receipt uploaded on the spot and a WhatsApp copy as a fallback.
02Deposits
Every transfer checked in one place
The front desk sees each receipt beside its booking and approves or rejects it in one tap, with keyboard shortcuts for a busy morning. Holds that are never paid expire on their own, so a slot is never blocked by someone who changed their mind.
03Front desk
The whole day on one board
Arriving, checked in, in session, done and no-shows, each patient a card with a live timer. The desk moves a card to the next column as the visit moves, and the day's numbers, from waiting time to expected revenue, update with it.
04Waiting list
Cancellations that fill themselves
One cancellation policy decides what a patient can do online and what happens to the deposit. When a slot frees up, the desk offers it to that day's waiting list on WhatsApp, and the first to book takes it.
05Clinical
A chart for every specialty
A 3D odontogram for dentists, an injection map with signed consent for aesthetics, weight against target and meal plans for nutrition, growth curves and vaccines for pediatrics, and a results desk for the lab. Prescriptions check allergies and carry a QR code the pharmacist can verify.
06Owner
Every branch's numbers, every morning
The owner sees revenue, expenses, no-show rate and profit across branches or for one, with payroll and petty cash behind them. A short brief arrives on WhatsApp at 8 AM, before the first patient walks in.
The outcome
A complete clinic system a clinic can try today, in every role: patients book and pay a deposit from their phone, the front desk runs the day from one board, doctors chart by specialty, and the owner sees every branch's numbers. It runs on realistic demo data and is ready to connect to a clinic's own backend.
Inside the project

The front desk's board for the day: who is arriving, waiting, in session or done, with a timer on every card.
The patient picks a day and a time. Each ring shows how full the day is, and the visit summary keeps the deposit in view.
The dental chart: a 3D odontogram where the doctor marks conditions on each surface and keeps notes per tooth.
The deposit check in Arabic and dark mode: each transfer receipt beside its booking, approved or rejected in one tap.
